Sample Shipment Protocol | Vanilla Pods
To ensure that vanilla samples are received and evaluated under the best possible conditions, please follow the instructions: Always use suitable food-grade packaging. Please proceed by sample identification and separation. Pack separately all samples corresponding to different terroirs, vanilla species, harvest years and curing method. Each package should be clearly identified with the species, origin/terroir, harvest year and curing method used.
Packaging requirements:

Vanilla pods must retain their natural shape and appearance during transport.

If using vacuum-sealed bags, please select the “Moist Food” setting or an equivalent gentle-vacuum option. The pods must not be compressed, flattened or tightly vacuum-packed.

The packaging must not leave pressure marks, grid marks or other impressions on the surface of the pods.

The pods must never be flattened for easier packing or shipping.

If the pods are already frosted/crystallised (“givrées”), do not use vacuum sealing. Pack them carefully without compression in suitable food-grade packaging that protects the natural crystallisation.
Invoice and Incoterm: The commercial or pro forma invoice must clearly indicate: Incoterms® 2020: DAP Zurich, Switzerland. Ship to: Sylvanilla® Regensbergstrasse 120, 8050 Zürich, Switzerland.
Please include the following documents* with the shipment and send us electronic copies whenever possible before dispatch.

*Even if samples are submitted without any accompanying documentation, it is essential to provide, at a minimum, contact of the producer and the following information: origin, species, harvest year, and curing method. This information ensure that the samples can be properly identified, assessed, and interpreted.
Shipping: We recommend using DHL Express, UPS, FedEx or Chronopost whenever possible to ensure fast and traceable delivery. As soon as the shipment is dispatched, please send us the tracking / airway bill number so that we can follow the shipment, prepare the customs clearance and organise reception as efficiently as possible. We will review the samples and come back to you within 48 hours following receipt. Thank you for carefully following these instructions.
